Yayasan
Pustaka Kelana (YPK) / The Wandering Books Foundation is a
not-for-profit organization established in 1995 by four professionals
(Nasti M. Reksodiputro, Grace Wiradisastra, Riris K. Toha Sarumpaet and
Olvia Reksodipoetro) with the main purpose of increasing the interest of
reading of children and young adults who have limited access to reading
materials. The Foundation was legalized on October 24th, 2005.
YPK’s
mobile library vans regularly visit schools, communities, and other
gathering places in the communities of Jakarta and the surrounding area.
In addition to the stopovers, we also lend out boxes of books to
responsible institutions, and we have a community library/small office
in Rawamangun.
Job Description

REPORTING TO: The Board
DUTIES & RESPONSIBILITIES:

- Management:
- Oversee the efficient and effective day-to-day operation of the organization
- During first 3 months, monitor YPK projects, through regular visits and talking with stakeholders, to assess the programs conducted and monitor staff performances
- During the first 3 months, together with each employee, review his/her job description and revise as needed
- Ensure projects are being run efficiently and the staff is fulfilling their responsibilities
- Ensure that the activities implemented are of good quality and relevant to the mission and vision of the organization
- Stimulate team building and accommodate creative thinking of staff and field workers
- Encourage good performance and values
- Coordinate volunteers
- Administrative Management:
- Prepare monthly report to the Board, highlighting successes and challenges and how the latter were addressed
- Meet with the Board every 3 months to keep the Board fully informed on the condition of the organization and all important factors influencing it
- Assist with Board Meetings: write minutes of meetings and propose ad hoc meetings to discuss pressing issues
- Encourage the Board to accompany staff to projects from time to time
- Assist in producing annual report for the organization
- Work with the accountant to provide monthly financial reports to the Board, as well as an end-of-year /annual financial report
- Provide authorization for financial matters as needed
- Ensure the accounts are audited every year
- Communications/Fundraising:
- Together with the Board, create a fundraising plan: review current YPK website, social media engagement (Facebook, possibly Instagram as well)
- Research potential donors and create a mailing list: ask Board members and others to give contact details of friends and partners to whom bulletins and newsletters can be sent
- Using MailChimp, send one page update on a selected project through mailing list every 3 months
- Send Thank You letters to donors as soon as donation are received and maintain regular communication with donors
- Actively seek out opportunities for YPK to apply for grants through internet search or personal contacts, find potential donors for YPK
- Collect good photos of projects for reporting to donors, newsletters and proposals
- Write proposals and reports to donors using the Canva program
- Promote awareness of the organization to the surrounding communities, in particular schools in Rawamangun
- Supervise weekly activities at the Rawamangun library
- Look for volunteer English trainers to provide paid English classes at the Rawamangun library in order to generate an income for YPK
- Promote and protect the reputation of YPK in external settings.
- Qualifications
- University degree in a related field
- Min. 5 years working experience in communications or marketing
- Excellent communication skills, both verbal and written in both English and Bahasa Indonesia
- Proficiency in the use of computers (Word, Excel, Powerpoint etc.)
