USAID SHERA Job Vacancy: Grants Assistant - Jakarta, Indonesian

IIE is looking for Grants Assistant to supports a 5-year, USAID-funded Sustainable Higher Education Research Alliances (SHERA) Program in Indonesia. The primary objective of SHERA is to increase the research capacity of faculty, staff, Ph.D. students and post-doctoral researchers at selected public and private higher education institutions in Indonesia through partnerships with U.S. universities.

The Grants Assistant will provide sub-recipient monitoring and administrative support to SHERA's Indonesian university sub-recipients, as well as support sub-grant implementation. Under supervision from the Grants Manager, areas of responsibility include, but are not limited to: accounting, invoicing, and sub-recipient monitoring.

Essential Duties and Responsibilities include the following.
  • Monitors program email, receives and compiles sub-recipient financial statements and reports, and confirms receipt.
  • Conducts administrative review of sub-recipient financial statements and reports to ensure alignment of actual expenses and back-up documentation; confirm payment requests are aligned with proposed activities; and verify necessary IIE prior-approval was received. This includes reviewing sub-recipients' expense reporting and financial account analysis.
  • Maintains sub-recipient documentation and deliverables on Box and ensures compliance with pre-determined naming conventions.
  • Tracks sub-recipients' actual expenses against budgeted amounts.
  • Monitors sub-recipients' internal controls and accountability of property and other assets for compliance and potential weaknesses.
Education/Experience:
  • Bachelor's degree in accounting, finance, management, public administration or related field preferred
  • A minimum 3 years of progressively responsible experience in grants administration, or accounting related-field.
Knowledge, Skills, and Abilities:
  • Excellent proficiency with knowledge of MS Office 2010; internet software and database software
  • Strong organizational, problem solving and time management skills
  • Demonstrate careful attention to details
  • Demonstrate ability to handle heavy workload and changing priorities and tasks under strict deadlines
  • Excellent interpersonal skills
  • Basic proficiency in English and excellent Bahasa Indonesia, written and oral
  • Strong interest and ability to work effectively in a team environment.
