Terms of Reference
Position Title: Project Coordinator
Duration of Assignment: 3 months (with possibilities of extension)
International NGO seeks a Project Coordinator. The primary responsibilities will be to assist the Program Manager with the daily operation and implementation of AGENDA projects in Indonesia.
The position is Jakarta based and full time.
IFES is an international, nonprofit organization that supports the building of democratic societies. IFES promotes democratic stability by providing technical assistance and applying field-based research to the electoral cycle in countries around the world to enhance citizen participation and strengthen civil societies, governance and transparency. Founded in 1987 as a nonpartisan, nonprofit organization, IFES has developed and implemented comprehensive, collaborative democracy solutions in more than 120 countries. Currently we are seeking Disability Rights Advisor to help project implementation in IFES Indonesia.
IFES is currently recruiting staff for the General Election Network for Disability Access (AGENDA) Project, the IFES-led consortium will seek to expand Indonesian disabled people’s organizations’
(DPOs) regional leadership capabilities, develop new tools and partnerships to monitor and raise awareness about disability access issues in elections, and work to ensure that disability rights are squarely on the ASEAN agenda. New and enhanced methodologies for monitoring disability access will include regional indices and reports to regional bodies, and Network findings will be shared with civil society organizations in several ASEAN member states.
Under the supervision of AGENDA Program Manager, the Project Coordinator will provide office administrative and operation support to the AGENDA Project.
Principal duties and responsibilities:
  • Assist the program manager in drafting ‘requests for applications’ for competitive solicitations;
  • Review all proposals from bidders.
  • Assist subawardees with understanding IFES policies and procedures;
  • Together with other IFES Indonesia program staff, work with sub-awardees on a regular basis to ensure program implementation;
  • Ensure that comprehensive data on all sub-awards is properly organized and available for reference;
  • Prepare documentation for Closed-out Sub-grants, Amendments, Cancellations of Grants;
  • As requested, make recommendations for project activities.
  • Travel may be required
Skills and specifications:
  • The ability to remain organized while handling multiple tasks under tight deadlines;
  • Ability to complete tasks with supervision;
  • Excellent communication skills in order to be able to work with IFES program and administrative staff to identify and resolve issues.
  • Willingness to adhere to all principles of confidentiality.
  • Must value operating in a collaborative and cooperative environment.
  • Ability to show initiative, good judgment, and resourcefulness.
  • Proficiency in English.
Education and Qualifications:
  • Bachelor’s degree in Finance, Law or Public Administration with a focus on policy development preferred.
  • 2-4 years’ experience working with international NGOs.
  • Working level proficiency in Word and Excel.
