Organizational Context:
Under the guidance and direct supervision of the Planning, Monitoring and Evaluation Manager, the Monitoring and Evaluation Junior Officer is responsible for maintaining the Project Tracking System, administering and filing documents within the PME Unit, assisting the execution and implementation of various activities within the Planning, Monitoring and Evaluation unit. He/She provides administrative support to the unit that will ensure smooth implementation of various planned activities.
Functions / Key Results Expected
Summary of key functions:
- Supporting knowledge management within PME Unit
- Proposal administration
- Administering and filing documents of various activities within the PME Unit
- Providing general assistant to the PME Unit
Supporting the management of knowledge within the PME Unit:
- Filing and administering project documents to be easily tracked down and traced
- Maintaining Project Tracking System and updating List of Projects
- Update the schedule of projects deliverables
- Coaching the project staff in using the Project Tracking System
- Assisting PME Manager and team in developing the quarterly evaluation of project performance.
- Collecting and filing all project reports and means of verification
- Recording and administering proposal of activities submitted to the PME unit
- Following up on the progress of submitted proposals with relevant program/project staff
- Arrange meetings and provide administrative support for Project Appraisal Committee
- Assistance in delivering result of the project evaluation to relevant parties
Ensuring proper filing and administering of documents of various activities within PME Unit and provision of secretarial works focusing on achieving the following results:
- Administering and filing of documents of various activities to be easily tracked down and traced
- Incoming and outgoing documents are delivered to the intended person
Ensuring the provision of general assistance to the PME Unit to ensure smooth execution and implementation of various activities of PME Unit focusing on achieving the following results:
- Providing assistance in organizing various activities conducted by PME Unit
- Providing assistance in arranging and the scheduling of various activities within the PME Unit
- Providing assistance in communicating the activities of PME Unit to other units within the Partnership
- Helping PME unit in analysis the data
Impact of Results
The key results will have an impact on the overall quality and effective delivery of various activities of the PME Unit.
Qualification requirements:
Bachelor Degree in Social Sciences, Economic, or any major subjects with a minimum of 3 years experiences in assisting the implementation of various activities or in relevant filed in a multi-cultural setting. Good understanding in program logic and familiarity with IT is an advantage. Fluency in Bahasa Indonesia and English.
