Program Assistant for Agrarian and Natural Resource Management Conflict Resolution Initiative

The Indonesia Business Council for Sustainable Development (IBCSD) seeks a Program Assistant for the Agrarian and Natural Resource Management Conflict Resolution Initiative to support the day to day operations of the agrarian and natural resource management conflict resolution initiative.  The position will provide general assistance to the initiative, through administrative and financial management, and will support partner and client communications and coordination.

Specific duties and responsibilities of the position include:
  • Assisting the Program Manager with implementation, management and reporting of all aspects of program Organizational Administration and Management
  • Managing organizational scheduling and logistics
  • Developing, implementing and managing administrative policies and procedures
  • Ensuring office and event facilities function properly and are appropriately maintained
  • Managing procurement process when necessary, develop and review basic contracts as needed
  • Maintaining organizational documents and files
  • Developing and maintaining organizational templates and formats; management, tracking & evaluation tools Programmatic Administration and Support
  • Supporting communications with timely development and delivery of outreach including emails, phone calls, and other strategic communications
  • Planning and management of all logistical arrangements for meeting, workshops, and events, including coordination and communication with vendors and participants, budgeting and financial management, and ensuring overall smooth delivery of events 
  • Assisting with the arrangement of travel for staff and partners when needed
  • Providing administrative and other input into regular evaluation reports (monthly, quarterly, annual) Supporting the preparation of proposals, reports and other materials, including timeline management, formatting, proofing, QA/QC, and delivery
  • Assisting with the preparation of  materials and presentations as appropriate for meetings and workshops
Financial Management
  • Budgeting and tracking of finances for the program as a whole and on a project by project basis (as needed) 
  • Preparing regular organizational and project by project financial reports for internal management purposes, tracking budgeted vs actual income and expenditures
  • Preparing financial reports for funders
  • Undertaking other tasks as assigned
QUALIFICATIONS AND EXPERIENCE
The preferred candidate will possess the following qualifications and experience:
  • At least 3 years’ of experience in office, project, and organizational administration and reporting
  • Proficient writing skills in both Bahasa Indonesia and English
  • Demonstrated oral and written communication skills in both Bahasa Indonesia and English
  • Experience with budget development and management and financial reporting
  • Highly organized and detail-oriented
  • Experience in event management and stakeholder relations
  • Proficiency with the Microsoft Office suite of programs
  • Ability to work both independently and as an integral part of a small team
  • Interest in issues related to natural resource management, environment, land use management, agriculture, or rural development also a plus
