IPAC (registered as Yayasan Penanggulangan Krisis Internasional) is a small Jakarta-based NGO focused on providing high-quality research into the sources of conflict in Indonesia and beyond.

ADMINISTRATION AND FINANCE OFFICER

The Institute for Policy Analysis of Conflict (IPAC), a small Jakarta-based NGO, is looking for a full-time Administration and Finance Officer to join our small five-person team.

The job will be under the supervision of a part-time Program and Finance Manager and will include the following tasks:
  1. Oversee the overall financial and administrative management of IPAC;
  2. Maintain a complete set of financial accounts according to accounting principles, updated daily, and keep accurate and detailed records of IPAC disbursements;
  3. Prepare vouchers and process payments for all financial transactions and process payment requests, make approved payments at the bank;
  4. Prepare and submit periodic donor financial reports for submission through the program manager;
  5. Assist in executing monthly payroll payments, including tax and Jamsostek/BPJS deductions for all staff;
  6. Oversee contracts with service providers for office operations and translations of IPAC reports;
  7. Draft and manage all correspondence related to IPAC’s administration and finance, including office registration;
  8. Manage filing and archive system for IPAC office records;
  9. Assist in making travel arrangements for IPAC staff;
  10. Serve as assistant to the IPAC director, including managing appointments and maintaining contact with IPAC’s board; and
  11. Assist in occasional event planning as needed.
The successful candidate must be an Indonesian national and will have the following required qualifications:
  1. A university degree (S1), with training in accounting.
  2. At least two years of experience working in an NGO office environment in a role relating to finance and administration.
  3. Command of accounting skills and excellent attention to detail.
  4. Fluency in English.
  5. Excellent organisational skills and demonstrated comfort in using computers (including MS Office, particularly Word and Excel) and the internet.
  6. Familiarity with professional accounting software.
  7. Ability to work independently and show initative.
