World Wide Web Foundation Vacancy: Executive Assistant, Jakarta

From time to time, the Web Foundation looks for exceptional people to join us in advancing the fight to make the open and free Web a right for all. We are a small but fast growing global team that offers the option to be based in London, Cape Town or Washington DC (although some positions require being based in a specific office). We aim ridiculously high and demand too much of ourselves, but we also have a lot of fun in the process – and we never get bored.

POSITION: EXECUTIVE ASSISTANT

BASED: CAPE TOWN

CLOSING DATE: 18 MARCH 2015

  • Are you an energetic, dynamic person with great people skills and a strong drive to organize and prioritize? Do you enjoy using your initiative and charm to solve problems? Are you constantly on the lookout for new and better ways of doing things? Do you want to gain more experience of international work? If so, this could be the role for you.
  • Based in our light, bright offices in Woodstock, you will assist the CEO and one of our senior managers with their diaries, travel and events to make sure that their time is used effectively and key priorities are followed through and delivered.
  • You will act as liaison for our high-profile international Board and for global leaders that we work with, so you must be able to handle VIPs in a diplomatic and professional manner.
  • Because of the amount of distance working we do, it’s also important that you are an excellent communicator and understand how to get through to people when you can’t talk to them face to face.

SKILLS AND EXPERIENCE:

  • This is a challenging role offering meaningful responsibilities and opportunities for someone with at least 3 years experience in an executive PA role.
  • You should be experienced and professional enough to work independently, handle complex challenges and take wise decisions on priorities.
  • We have team members spread around the world so we rely a lot on modern technology to organise our work. Although you don’t need to be a technology whiz kid, you should be comfortable with the basics (such as Skype, Dropbox or Google Drive, etc.) and quick to learn new tools for remote working.
  • You should have experience of planning and managing logistics and travel for meetings and events, including remote events in unfamiliar locations.
  • You must be able to work odd hours when the CEO is travelling in different time zones or when pressing deadlines demand.
  • You should have very good English language skills. This includes the ability to take clear, concise minutes and produce grammatically correct, attractively formatted documents and spreadsheets quickly with minimal supervision.
  • Knowledge of world languages other than English is a plus, but not required.
