The Islamic Development Bank Vacancy: Office Receptionist, Jakarta

The Islamic Development Bank is an international financial institution established in pursuance of the Declaration of Intent issued by the Conference of Finance Ministers of Muslim Countries held in Jeddah in Dhul Q'adah 1393H, corresponding to December 1973. The Inaugural Meeting of the Board of Governors took place in Rajab 1395H, corresponding to July 1975, and the Bank was formally opened on 15 Shawwal 1395H corresponding to 20 October 1975.

The Islamic Development Bank, Country Gateway Office (CGO) Indonesia is seeking highly qualified candidates for one full time Receptionist of the Country Gateway Office of Indonesia.

Job Description of Receptionist
Role purpose: The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.

Key Task and Responsibilities:
  • Liaising with customers in a service-oriented manner on behalf of the office by providing a professional phone service, personally welcoming visitors and maintaining a high standard in the reception area 
  • Dealing with phone calls related to ISDB Group 
  • Ensuring incoming and outgoing calls are efficient and uninterrupted 
  • Performing reception and secretariat services on a daily basis
Phone and reception services
  • Answers and accepts phone calls and messages and/or forwards them
  • Maintains a callback list of all incoming calls which cannot be taken by the relevant staff member
  • Operates the answering machine appropriately
  • Registers, documents and organizes incoming and outgoing correspondence (fax, emails, packages and personally delivered messages)
  • Ensures that visitors are comfortable by offering newspapers, refreshments, etc.
Office work and services
  • Ensures creation and/or regular updating of a list of contacts and addresses (telephone, fax, email)
  • Is responsible for sorting, registering, distributing and accepting fax (outgoing and incoming), documents/invoices and packages to/from the post office, government institutions, embassies etc.,
  • Is responsible for ordering office stationeries and preparing greeting cards in any occasions
  • Is arranging meeting room and event, including meals during office meeting/ event
Other duties/additional tasks
  • Performs other duties and tasks at the request of management
Required Qualifications:

Education and certification requirements
Diploma or similar qualification from a recognised clerical college, Bachelor Degree is an advantage
Necessary knowledge and experience to be able to do the job
  • 3 – 5 years in a comparable position; 
  • Good working knowledge on ICT technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office);
  • Possess previous experience in the International Organization or Company; 
  • Good and Active English.
Job specific technical skills
  • Politeness and helpfulness in dealing with visitors 
  • Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management
