Caritas PSE Medan Vacancy: Head Division HR & GA - Medan

Caritas Foundation for Social Economic Development Archdiocese of Medan are seeking staff for position Head Division of Human Resource and General Affair, with job description below:

Job Title: Head Division HR & GA

Place Of Assignment: Medan

Employment Status: Local Hire

Organizational Division: HR & GA

Reports To: Director & Chief of Foundation Chairman

Supervises: HR & GA Staff, Driver, Janitors


Primary Responsibilities: Responsible for ensuring general administrative, logistical technical, financial support to the project and foundation.


Specific Duties:
 
  • Plans and organizes clerical support activities; establishes procedures, practices and work methods for office effectiveness and efficiency. 
  • Oversees and coordinates the procurement of office equipment, furniture, computers, and office supplies in accordance with office regulations and requirements.
  • Liaises with supplies and equipment contact providers to ensure regular maintenance of office equipment & vehicles; maintains an adequate supply of office supplies, and oversees records of office assets & inventory.
  • Makes travel arrangements, including arranging air or ground transportation, hotel and calculation of per diem for staff.
  • Assists with Finance Assistant and Admin for training programs including arranging venues, refreshments, and meeting rooms, hotel accommodation, translation and interpretation services, and air or ground transportation for participants and staff.
  • Coordinate staff recruitment and selection process in order to ensure a timely organized and comprehensive procedure is used to hire staff.
  • Provide leadership in effective conflict resolutions for all staff.
  • Work with Finance Division in order to prepare payroll, employee social benefit, health insurance, and withholding tax report.
  • Provide contract of staff and vendor.
  • Prepare and monitor budget for HR & GA Division.
  • Responsible to compile project report and arrange it for midterm and final foundation report.
  • Responsible in arranging board of director meeting periodically.
Qualification: 
  • Bachelor Degree from social study/Economic.
  • Minimum of 4 years of relevant human resources and administration experience
  • Good knowledge on Compensation & Benefits and Job Evaluation and interviewing skills.
  • Excellent skills in using Microsoft Office (Outlook, Excel, Word, Powerpoint).
  • Having the ability to perform multiple tasks, prioritize projects, and the ability to make decisions daily.
  • Having the ability to work independently as well as teamwork, thorough and timely management.
  • Having the ability to write office report.
