SCI seeks Admin & Logistic Officer - Baduta Project, based in Malang

ADMIN & LOGISTIC OFFICER
based in Malang, 1 position
CODE : ALO-BADUTA

Reports to: Project Manager
Dimensions: The Admin and Logistic Officer is accountable to the Baduta Program Manager with strong dotted line to Senior Manager, Support Services for the provision of effective logistic services in both which include asset management, fleet management, warehouse management, procurement in both emergencies and development programming contexts. The post holder will also support HR administration.

JOB RESPONSIBILITIES:
Administration
  • Ensure timely and accurate payment for vendors, service providers including utilities payment for office.
  • Ensure the office, asset and vehicle are well maintained to comply with safety regulation
  • Ensure adequate vehicle insurance coverage and timely registration and permit
  • Ensure that all project staff timesheets are collected and forwarded to CO's HR team in timely manner.
  • Ensure accurate and timely overtime calculation to HR team.
  • Ensure that all consultant / daily worker contracts are signed and back to HR
  • Close coordination with HR Country Office related to recruitment and contracts for individual consultant, daily worker, and service
·         Ensure that all logistic team (driver, office helper, security guards) understand and are able to perform their roles in an emergency
·         Manage logistic team including define expectations, provide leadership and technical support as needed, and evaluate direct reports regularly

Logistic
  • Ensure that all procurement is done in an appropriate, efficiently, timely and transparent manner as per Save the Children International Policies and procedures and internal audit requirements.
  • Ensure asset register, warehouse stock, vendor list are well maintained and updated.
  • Ensure efficient supply chain planning (plan, source, transport, store and dispatch)
  • Ensure that efficient, cost effective fleet management are in place and in compliance with SCI standards
  • Ensure that rental agreements are maintained and updated.
  • Build the capacity and train the driver and other staff in all necessary systems including procurement, warehousing, asset management and fleet management.
  • Ensure adequate of office and vehicle supplies

QUALIFICATION
·         Education Degree in related field
·         3 to 5 years working experience in the same field
  • Strong computer skills in Microsoft Office (Word and Excel)
  • Good command of English, verbal and written
  • Experience with Administration and Logistict management
  • Demonstrated credibility with colleagues and stakeholders at all levels of an organization
  • Leadership skills, including the ability to supervise and motivate the team with strong personal value systems
  • A commitment to the values and principles of SCI
  • High level of commitment to the principles of development and to the organizational and programmatic goals of  Save the Children
  • Ability to solve problems, show initiative and work independently
  • Respond to requests, queries in timely and customer oriented manner
·         Attention to detail, particularly with regards to expense transactions and Logistic reporting
