IT Shows Vacancy: USAID / Indonesia - Administrative Assistant, Jakarta

The Administrative Assistant is responsible for the day to day office operations and providing administrative support to project management. He/She will prepare regular oral and written progress reports that demonstrate the status of project activities toward expected results, as well as other reports as required. He/She will ensure that a good and professional relationship with the staff is fostered and maintained throughout the life of the project and report directly to the Project Director.

Key Responsibilities:
  • Assist with the coordination of all logistical aspects of project administration including arranging travel, processing travel clearances, visa processing, and fielding consultants
  • Fulfill office administration duties including, answering phones, photocopying, faxing, ordering supplies/workshop materials, etc
  • Maintain and stock office supplies and process supply orders from the Project Director.
  • Label and maintain all administrative files including travel clearances/itineraries, visa requests, consultant transport and lodging information, and all other non-accounting related documentation
  • Prepare reports of meetings convened or attended by project management
  • Assist project Management in hosting project visitors and arranging meeting details
  • Assist project Management in sending monthly expenditure reports and back-ups to IT Shows home office
  • Assist in logistic support for all workshops and trainings. This will include reserving workshop venues, preparing invitations, and other administrative tasks as required.
  • Fulfill other administrative functions as required
Qualifications:
  • Degree in administration or five years of administrative experience is preferred.
  • Three years administrative with large-scale international projects.
  • Excellent computer skills including: Microsoft Word, Excel, Outlook, Adobe.
  • Fluency in English and Bahasa Indonesia is required- spoken and written.
  • Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
  • Must be capable of working both individually and as part of a team.
  • Strong written and verbal communications skills.
  • Ability to engage in activities occurring in multiple field sites with multiple stakeholders across Indonesia.
