Compliance, Administration & Human Resources Intern
The
Agency for Technical Cooperation and Development (ACTED)
is a French non-profit organization working in over 30 countries
worldwide to provide emergency response, early recovery, and development
assistance to communities in need. ACTED’s interventions seek to cover
multiple aspects of humanitarian and development
crises through a multidisciplinary approach that is both global and
local, and adapted to each context. ACTED’s vision is to establish
emergency, rehabilitation, and development. ACTED aims to guarantee the
sustainability of relief interventions carried out
during crises by remaining in the field after the emergency to engage
in long-term support to communities in food security, health, education,
economic assistance, microfinance, advocacy, and cultural promotion.
ACTED’s actions are needs based and identified
in a participatory manner with communities in the areas where we are
present. ACTED has been active in Indonesia since April 2005, assisting
those affected by the tsunami and Nias earthquake and is now working to
support livelihoods, community-based disaster
risk reduction, and child protection in North Sumatra, Nusa Tenggara
Timur (NTT), and elsewhere.
Currently ACTED has an immediate need for Compliance,
Administration & Human Resources Intern for its
Jakarta
office.
The
Compliance, Administration & Human Resources Intern is responsible
for supporting the compliance, administration and human resources team
at
capital level to ensure the smooth and efficient running of the office.
The internship will last for a three month period, and will be based
in ACTED’s Jakarta office.
Under the authority of the Head of
HR and
Administration, and working relation with Capital and Field Logistics, Finance and Compliance staff staff
to support the smooth functioning of the office in terms of compliance, administration and HR.
No salary will be paid for this position however ACTED will cover reasonable travel expenses and lunch.

Qualifications and Skills:

The candidate should either be following a degree level course in one of the following subjects
or a recent graduate: finance, economics, business administration or any other related subject;

Fluency in English

Basic knowledge of finance, HR and logistic procedures an advantage;

Meticulous attention to detail and documentation/filling required;

Good computer knowledge (Windows,
Word, Excel,
E-mail and
Internet);

Fast Learner, flexible and adaptable;

Function
General objectives:

To support the smooth funtioning of the office in terms of compliance, administration & HR;

Support the Head
HR and Administration
as requested
Key Resposibilities:
Compliance
-
Support the
compiling and organizes of FLAT files documentation for all ACTED
Indonesia projects, including photocopying and filling documents;
Administration
-
Manage Jakarta Capital Office filing system (on-site and off-site);
-
Track incoming shipments of documents from field office;
-
Maintain and update
all administrative documents such as human resource manuals, and
templates related to human resources and administration;
-
Support the Country Director with translation and facilitation for external meetings and presentations when necessary;
-
Take notes and minutes and draft administrative reports of meetings when needed;
-
Draft internal memos and external letters, track communication with external contacts;
-
Serve as the
liaison with ACTED’s travel agency to arrange air tickets and other
domestic and international travel needs for ACTED’s staff;
Human Resources
-
Prepare monthly
human resources update (PAQBO) for Jakarta and consolidate field office
reports to create monthly country report to be submitted to Paris HQ;
-
Prepare HR Titanic for Jakarta staff ;
-
Assist
the Country Representative or other senior HR staff with national staff
recruitment including drafting and publicity of vacancy announcements,
sorting applications (basic shortlisting),
requesting additional materials from shortlisted candidates when
needed, reference checking, etc.;

Assist senior staff with maintenance and updates of personnel files if needed;
-
Collecting and filing expatriate records and documents for administrative and security reasons;
-
Assist with other Human Resources tasks as needed;
Other
-
Uphold ACTED and donor standards and quality at all times;
Address any other issues as requested and/or appropriate.
