The Center for Public Policy
Transformation is a non-profit educational institution established, in 2013, to
promote evidence-based policy research and training in Indonesia. Transformasi
will collaborate with domestic and international partners to provide executive
education programs for government officials, to link training to practical
policy research and help domestic researchers and research institutions build
capacity for evidence-based research. Transformasi will invest in
communications and outreach to raise public awareness of policy issues and link
policymakers, researchers and the general public.
Currently, Transformasi is seeking for a young and
energetic person to join in the team as
Secretary
and Administration Assistant.
The selected Secretary and Administration
is expected to perform routine clerical
and administrative functions such as drafting correspondence, scheduling
appointments, organizing and maintaining paper and electronic files, providing
information to callers and assist the Finance Division in data entry when
required.
The position is for 1 year contract with 3 months
probation.
The Secretary and Administration will report
to the Finance & Administration Director.
Job Description:
- Handling incoming and outgoing calls and providing requested information to visitors/callers
- Liaising with colleagues and external contacts to book travel and accommodation;
- Booking rooms and conference/meeting facilities;
- Sorting and distributing incoming post and organising and sending outgoing post;
- Organising and storing paperwork, documents and computer-based information;
- Photo copying and printing various documents, sometimes on behalf of other colleagues.
- Organising, preparing agendas for and taking minutes of board meetings and annual general meetings;
- Dealing with correspondence, ensuring decisions made are communicated to the relevant company stakeholders;
- Providing office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.
- Maintaining supplies (stationery and equipment) inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Contributing to team effort by assisting the Finance division when required.
- Doing other tasks as requested by the Line Manager
Skill: Microsoft Office application and English proficiency is a must. Experience: 2-3 years as Secretary/Administration.
Education: Diploma or equivalent is prefered. Expected start working date: 10
