USAID - IUWASH Vacancy: Receptionist (Medan) ; Driver (Jakarta)

The Indonesia Urban Water Sanitation and Hygiene (IUWASH) project is a sixty-month program (2011 – 2016) funded by the United States Agency for International Development (USAID) and implemented under the leadership of DAI. IUWASH works with government, the private sector, NGOs, community groups and other stakeholders to improve access to safe water supply and sanitation in Indonesia’s urban areas. The overall goal of IUWASH is to assist the Government of Indonesia (GOI) in making significant progress in achieving its safe water and sanitation Millennium Development Goal (MDG) targets by expanding access to these services. 

To achieve the above, assistance provided by the project is divided under three main technical components, including: 
  1. Mobilizing demand for WatSan service delivery; 
  2. Improving and expanding capacity for WatSan service delivery; and
  3. Strengthening policy and the financial enabling environment for improved water supply and sanitation service delivery.
IUWASH will apply different approaches and interventions with its local partners, such as local Water utilities, local and national government institutions, NGOs and communities to address water, sanitation and hygiene. To achieve these objectives IUWASH need high caliber incumbent to fill the positions of

1.    RECEPTIONIST, based in Medan, code (RCP-MDN)

The Receptionist is responsible for maintaining a professional appearance of the front office, receiving visitors, managing incoming and outgoing calls, documenting courier movement, and assisting the Administrative task in day to day activities.

Tasks
Her/his responsibilities will include, but not be limited to, the following:
·         Receiving calls and ensuring any messages are quickly forwarded to appropriate individuals.
·         Arranging meetings and other managing other schedules for IUWASH team member.
·         Preparing all packages and documents for mail, courier and messenger; and supervising their distribution.
·         Assist in scheduling drivers and vehicle movements.
·         Receiving guests.
·         Assisting in sending letters/documents, scanned, to partners, agencies and other government entities.
·         Assuming the duties of the other Administrative Assistants in periods of absence.
·         Undertaking other assignments that may be given from time to time as appropriate by Primary & Secondary supervisor.

QUALIFICATIONS:
·         Diploma degree in an applicable field.
·         preferably a minimum of 3 years experience within an administrative role of donor funded project. 
·         Excellent communication skills both in English and Bahasa Indonesia, as well as good computer skills, including Microsoft office suite, internet, and database management are required.
·         Experience with USAID programs is highly desirable.

2.    DRIVER, based in Jakarta, code (DRV-JKT)
The Driver is responsible for providing safe transportation for project staff to and from meetings, appointments, and all other project-related travel.  He will also assist as a courier when required.  The Driver will be responsible for maintaining the vehicle he oversees and ensuring compliance with vehicle usage procedures.
Tasks
Transportation
·         Provide safe transportation to and from locations for project staff.
·         Transport project staff, documents, commodities, and equipment to and from designated locations (meetings, project sites, etc.)
·         Manage vehicle and trip scheduling as needed.
·         Undertake other assignments consistent with the above that may be given from time to time.

Vehicle Maintenance
·         Ensure vehicle maintenance including regular check-ups of engine, AC, radiator, battery, oil, gasoline, tire, cleaning, and fueling.
·         Inspect the vehicle noting any damage, scratches, malfunctions or problems.
·         Clean the vehicle interior of any garbage, dirt and dust.

Vehicle Compliance
·         Ensure compliance with all DAI and local driving laws and regulations.
·         Maintain accurate records and paperwork on all vehicle-related purchases and maintenance.
  • Maintain a vehicle log book and update log book at each stop.
  • Complete Accident Report forms when necessary.
·         Ensure all required documentation (vehicle registration, insurance documents, drivers license, etc.) are up-to-date and available.
·           Ensure the following documents are in the car.
·              Valid vehicle registration
·              Valid proof of insurance
·              Valid Driver’s license
QUALIFICATIONS:
·         min. High School graduates.
·         preferably a minimum of 3 years experience within similar field.
·         able to work long hours and occasionally at weekend.
·         basic communication skills in English is preferable.
