Scope of Services for an IT
Service Provider for
GRM International Indonesia
GRM Indonesia wishes to appoint
an IT service provider to develop and maintain its IT systems across its
offices in Indonesia. It wishes to appoint a service provider that can provide
timely and effective IT support including on-site and remote support in English
and Bahasa Indonesia.
Background
GRM is a leading international
development management firm specialising in the provision of project design,
management expertise and technical assistance to development projects for
bilateral and multilateral funding agencies, governments and corporations. We
have over 40 years of development experience, managing in excess of 700
projects in more than 120 countries. We have provided these in a diverse
range of sectors including: economic and private sector development;
agriculture; livestock; livelihoods; social protection; health; environment;
natural resource management; education; governance; law and justice; policy and
public sector reform.
The GRM-Futures Group has
implemented projects in Indonesia since the mid-1970s. PT GRM Indonesia was
formed in 1995 to deliver development consulting services across the country
and has worked with clients including the Australian Aid program, USAID, the
European Commission, the FAO, the Hewlett Foundation and the Global Fund to
Fight AIDS, Tuberculosis and Malaria. GRM currently manages approximately
$300m of development assistance in Indonesia.
GRM’s head office in Jakarta is
in 19th Floor Ratu Plaza Building, Jl Jend. Sudirman Kav. 9, with 14
full time staff. GRM also has the following project offices:
- Co-located with GRM’s Jakarta head office the POM project team consists of 10 full time staff.
- The HCPI project team consists of 45 staff of which 35 are based in the project office at Wisma Kosgoro, Jl. MH Thamrin, Jakarta, while 10 staff are based in Jayapura, Papua.
- A team of 60 staff for the PRISMA project is being recruited. This team will initially be based in Surabaya. In 2014 project offices will be opened in Papua, West Papua, NTT and NTB.

IT
Support Services Required
The service provider will need to
demonstrate adequate capacity to provide support five days a week and when
required outside regular working hours responding that will include the
following. The service provider will need to demonstrate that it can
provide a response within 2 hour of receipt and escalations as required.
IT
Maintenance and Support
For GRM
Indonesia, POM, HCPI and PRISMA provide the following services.

Routine IT maintenance and troubleshooting
·
Setting up new computers
·
Maintain existing computers
·
Setting up printers, scanners, photocopiers and other peripherals
·
Maintaining servers
·
Ensuring adequate security of GRM’s IT systems
·
User account maintenance excluding Office 365 accounts
·
Maintain relationships with Internet and Phone providers to ensure
reliable service and value for money
·
Create and maintain site documentation
·
Create and maintain IT asset registers
·
Create and maintain a license register
·
Identify synergies between different offices e.g. Internet providers
consolidated to provide better discounts
IT
Support for Satellite Offices
Supporting
establishment of IT in new offices in Papua, West Papua, NTT and NTB.
Supporting
existing satellite offices, including the HCPI office in Papua, to:

Assess IT requirements
·
Identify IT service providers
·
Assess IT security
SharePoint:
GRM is rolling out
SharePoint across its operations. The Service Provider will:

Support GRM and project teams to define what is stored on SharePoint.
·
Develop Project specific SharePoint sites
·
Migrate data from servers to SharePoint
·
Train staff on the use of SharePoint
·
Troubleshoot and support staff on use of SharePoint
IT
Procurement
·
Advising on procurement of IT equipment based on GRM specifications.
