Conservation International Vacancy - Field Admin and Logistic Officer base in Medan

Conservation International,
an international non-governmental organization, is seeking to fill the position
of Field Admin and Logistic Officer base in Medan.
 
Field Admin and Logistic
Officer is mainly responsible for office administration and Logistics. He/she
reports directly to Sumatera Operation Coordinator. The incumbent is
responsible to provide prompt and efficient response to phone calls, handling
the correspondence, filing, arrange meetings/events, Coordinate vehicle use and
monitor vehicle log book, managing ancillary staffs, assist in keeping record
of outpatient claim and leave record.
 
Responsibilities:
1.    Serve
as receptionist and welcome visitor or guest in a good manner (incoming calls
are dealt politely and efficiently)
2.    Organize
Filing System and information, handling incoming and outgoing letter/mail
3.    Assist
in the preparation of Arranging meeting, workshop and events (venue selection,
logistics arrangement, materials, and communication with participants) serve as
key note taker of meeting if needed.
4.     Assist
with travel arrangement of CI staffs and guests include arranging
accommodation, ticketing, hotel reservation and vehicle arrangement;
5.    Purchase
regular office supplies ( stationary and groceries), and maintain the office
supplies inventory
6.    Maintain
Sumatera Office Inventory list (Medan, Takengon, Madina and Tapsel Office) and
ensure proper maintenance of Sumatera Office inventory is conducted and conduct
physical checking periodically.
7.    Handling
asset, program supplies and tools procurement including bidding process
8.     Handling
regular office payment i.e: utilities, Telephone, Internet, Car Rent, Outsource Payment and
etc
9.    Supervise
ancillary staff (security,office boy and Driver) in Sumatera, and maintain
communication with Outsource Company as well
10.  Coordinate vehicle
use and maintain vehicle log book monthly
11.  Handle daily
correspondence, sending or receiving letter and messages by post, facsimile,
telephone and etc
12.  Make sure all office
equipments/facilities/vehicle are well maintained and in good condition
13.  Assist Sumatera
Operation Coordinator related to Hiring process (arrangement of interview, and
preparation of Ancillary contract and other Human Resources issues

Qualifications:
•     Bachelor/University/diploma
degree majoring in Administration, management or Economy
•     At least 2 years relevant work
experience in administration/secretary/logistic/receptionist
•     Having experience in
ticketing, Hotel reservation, events arrangement, logistics
•     Familiar with microsoft office
(word,Excel,Power Point) and internet
•     Team player and able to work
under pressure and minimum supervision
 
Preferred
·         Having experience
in dealing with vendor and all related to procurement process
·         Able to supervise a
group of people
