The Empowering Indonesian Women for Poverty Reduction or Maju Perempuan Indonesia untuk Penanggulangan Kemiskinan (MAMPU) is funded by the Government
of Australia through the Australian Agency for International Development
(AusAID) and managed by Cowater International Inc. The MAMPU Program purpose is to build broad-based networks and inclusive coalitions led by strengthened women’s and gender-interested organisations, and parliamentarians in order to influence government policies, regulations and services, and in selected private sector arenas, to improve the access of poor women to critical services. MAMPU Program is currently seeking the following position :

Position : Secretary / Receptionist

Location : Jakarta, MAMPU Office

Report to : Administrative Assistant

Duration : Long Term

Overall responsibilities :

Reporting to the Administrativev Assistant, (AA) the Secretary/Receptionist is reponsible for providing general secretarial services and assisting the AA in administrative and logistic matters. The Sercretary is also reponsible for providing secretarial services and other support (administrative and logistic upon request from Administrative Assistant) in priority to the Team Leader and technical advisors.

Specific responsibilities :

* Maintain good working relationships with the AusAID, BAPENAS, MAMPU Partners and others

* Receive and assist visitors at MAMPU office and follow up on their requests (appointments, information, etc.)

* Take messages (phone and visitors) and take appropriate action

* Process incoming, correspondence by opening mail, recording in logbook, photocopying, circulating and filing.

* Assist in maintenance of active and inactive general file to ensure that all correspondences and documents are filed properly

* Arrange/book flight for staff for official travel purpose

* Arrange/prepare documents to be shipping to Head Quarter, other Field Offices or Overseas if necessary.


* Keep an up to date mission calender on a monthly basis

* Provide support for administration of the filing system under teh guidance of the AA

* Assist in preparation of letters to be sent to related Partners, BAPENAS, AusAID

* Organize meetings and make appointments with Partners, BAPENAS, AusAID, others projects/programs, donors in Indonesia

* Provide support to the AA in planning and organizing Work sessions, seminars, training, field trip, etc.)

* Provide secretarial assistance to the Team Leader and Advisors and short-term consultants to finalize, duplicate and distribute documents accordingly

* Deliver other tasks accurately and on a timely basis.

Qualifications :

* Minimum 5 to 7 years appropriate secretarial and administration qualification

* Experience in managing events (meetings, workshops, seminars, etc).

* Pro-active and quick learner and good communication skills.


* Good written and verbal communication skills in Bahasa Indonesian and English.

* Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping.


* Experience of working with Bilateral organisation funded projects, Civile Society Organizations and Government representatives
