Position : Grants & Contracts Assistant

Duration of Contract : 1 Year (Fix Term) with possibility of extension

Project Summary

Strengthening Integrity and Accountability Program 1 (SIAP-1) is a five years program funded by the United States Agency for International Development implemented under the leadership of Management Systems International (MSI).

The objective of SIAP-1 is to contribute to good governance in Indonesia by strengthening integrity and accountability in government – principally at the national level. It will do this by supporting governmental and non-governmental efforts to strengthen integrity and accountability.

Overall Position Objective

To assist the Grants Manager and Grants & Contracts Team on the procurement aspect of MSI-SIAP 1 to ensure that all procurements are transparent and compliant with USAID and MSI Regulation.

Report to : Grants Manager

Responsibilities
  • Preparing the procurement announcement for new grants and contracts. Identify and invite the potential applicants/offerors to the Request for Applications (RFA) or Request for Proposal (RFP)
  • Assist in Advertising the RFA’s and RFP’s and preparing the bidding conference, questions and answers and clarification of RFA/RFP documentation.
  • Ensure the potential applicants/offerors in the vendor pool are well documented in proper and update database.
  • Assist in preparation of the administrative documents to enable the TEC to undertake the evaluation process
  • Undertake the grants and contracts procurement filing; provide the necessary documents for new sub grant /sub contract.
  • Assisting in maintaining the Grants and Contract database
  • Assist in notifying  all bidders on the outcome of the evaluation and preparation of the contract agreement to the successful bidders
  • Perform other duties and responsibilities as assigned by Grants Manager.
Experience, Qualifications and Skill required:
  • Experience of undertaking procurement exercises for Goods and Services
  • Graduate in relevant discipline
  • 2 years of relevant experience in the public or private sector, in Administrative, Finance or Procurement area, preferably under a USAID-funded project
  • Experience of work in another international organization will be a plus.
  • Fluent in spoken and written English
