Operations Coordinator Indonesia
Background
STATT designs and implements responses to challenges that cross
borders. We specialize in understanding and acting on transnational
linkages between communities, governments and civil societies. Our
purpose is to seize the opportunities and mitigate the threats that
accompany globalisation.
We run five thematic programs that have covered 30 countries in the
last year. Our major operational hubs are in Indonesia, Afghanistan,
Pakistan, Iraq, Austria, and Australia.
The Position
STATT is seeking expressions of interest from suitably bright,
motivated and dynamic individuals interested in a position with STATT as
an Operations Coordinator (OC).
The role is full-time with
benefits and would be suited to someone seeking to build professional
experience. The role will commence in mid of May 2013, with a minimum
term concluding in June 2014, with a possibility of extension and
3-month probation.
The Operations Coordinator (OC)’s overall function is to manage day
to day office operations and in particular finance, administration, and
procurement functions.
The OC will report to STATT Indonesia Director of Programs, who will provide general supervision and support.
Main Responsibilities
Reporting to STATT’s Director of Programs – Indonesia, the Operations Coordinator will be accountable for:
Finance
- Organising and providing valid payroll, monthly financial request, monthly tax and Jamsostek reports for all personnel, financial reconciliation in bank account and petty cash.
- Managing and keeping track of cash flow through petty cash.
- Ensuring personnel conduct financial transactions in accordance with STATT procedures and regulations.
- Providing relevant financial report to supervisor and the Director of Finance.
- Providing support to the management of company administration, including updating regular report of the company and monthly Jamsostek reporting.
- Maintaining a database of personnel information, including their IDs, Work Agreements, Insurance Policies, Leave record, etc.
- Procurement for consumable and non-consumable items for office and project.
- Building management, including rental and service management such as for internet, electricity, water, etc.
- Supervise an Office Assistant whose role is to assist you provide these corporate services.
The Operations Coordinator will work the hours necessary to carry out
his/her role, not to exceed 42 hours/week except in extraordinary
circumstances. The Operations Coordinator will be based in Jakarta. The
position may require some travel outside of Jakarta, for which all
related expenses will be covered by STATT.
Qualifications
We will assess your suitability for the role against your demonstrated capacity for:
- Carrying out tasks related to office management, finance, administration and logistics.
- Multitasking.
- Communicating in English and Indonesia, both verbal and written.
- Translating documents between English and Indonesian.
- Executing complex tasks with an attention to detail.
- Working with limited supervision.
