JOB OPPORTUNITY WITH SILE/LLD PROJECT

INTRODUCTION
The Project Supporting Islamic Leadership in Indonesia (SILE/Local Leadership for Development (LLD), funded by the Canadian International Development Agency (CIDA) and executed by a Canadian Consulting firm, is to build the capacity of a) selected State Islamic University (UIN) and State Islamic Institute (IAIN) in their outreach functions with local communities and b) the Ministry of Religious Affairs to effectively integrate democratic governance practices in their strategies, programs, and budgets to support university-based community outreach.

The Project is presently looking for a full-time ACCOUNTING ASSISTANT to be based in Jakarta. The contract duration will be 2 years. ACCOUNTING ASSISTANT

Position: Accounting Assistant

Reports to: Jakarta Accounting Manager

Location: Jakarta

Overall responsibilities:
The Accounting Assistant reports to the Accounting Manager. He/she will undertake his/her work in close coordination with the Jakarta office Accounting Manager and be responsible to provide various forms of accounting and financial assistance to the Makassar or Surabaya office related to maintaining accounting and financial system, preparing monthly fund requests and financial reports in accordance with procedures and financial guidelines in the Project Procedures Manual.

Specific responsibilities:
  • Coordinate and plan work closely with the Accounting Manager
  • Maintain good working relations with Office Administratorin Jakarta and Finance Assistant as well as administrative Assistant in Surabaya and Makassar
  • Ensure all financial and accounting work is in accordance with Coldwater Policy and Reference Manual
  • Provide assistance to Accounting Manager in verifying bi-monthly and monthly financial reports received from Makassar and Surabaya, particularly expenses allocation within budget categories, the validity of supporting documents (tickets, hotel invoices, suppliers, other expenses) and respect of Standard Payments
  • Compile and organize all supporting documents received from the three Project offices: Jakarta, Makassar, Surabaya for all reporting activities
  • Compile original back up documents before sending to Canada ( Invoices, Bank Statements, Contracts, etc.)office
  • Inform suppliers in Jakarta when payments are made. For Surabaya and Makassar, provide confirmation when funds are transferred and information when adjustments to budget proposals are made
  • Verify travel claims from SILE/LLD staff, Short term consultants and Advisors
  • Ensure that monthly submission of reports is timely (Makassar and Surabaya) and answer minor financial queries received from field offices
  • Assist Accounting Manager in monitoring fees payments to short term consultants based on invoices submitted and monitor remaining days according to contract
  • Prepare payment vouchers, bank checks and bank slips for processing
  • Ensure proper filing of all financial documents (financial reports, supporting documents, bank documents, contracts, etc.)
  • Assist in the preparation of annual MFA request and in the reporting
  • Provide assistance to Accounting Manager on other finance-related aspects when required.
QUALIFICATIONS REQUIRED
  • Minimum Sarjana (S1) in accounting or finance or related subject
  • Experience (8 years) in accounting and financial aspects
  • Familiar with computer software such as Excel, Word, etc.
  • Knowledge of Quickbook is an advantage.
  • Experience working in the context of projects
  • Strong Indonesian language communication and a good command of spoken and written English
  • Ability to work well with team from different background
